Key Purpose of role The key purpose of this role is to deliver commercial, HR admin, business development, marketing and general administration and business support across the team to ensure the business runs smoothly and efficiently. |
Role and Responsibilities:
Commercial and Financial Support
- Assist with applications for payment
- Processing expenses and other accounting support (CMap and Pleo)
- Assist with invoices
- Assist with financial analysis
- Assist with commercial software (currently CMap)
- Assist with setting up financial KPI’s and updating and maintaining same
- Assisting with debtors
- Assist with the production of pricing document for extra works (variations)
- Assist with the production of contract documents
General Administrative Support
- Assist with the maintenance of the BMS (Business Management System)
- Help to manage and record the Continuous Professional Development activity
- Assist with the purchase of office consumables
- Assist with onboarding and offboarding of employees
- Assist with management and arrangements for CSR (Corporate Social Responsibility) activities and company social events
- Assist with creation and circulation of meeting minutes
- Assist with purchasing and management of PPE (Personal Protective Equipment)
Internal and External Audits Support
- Assist with preparation of both external and internal audits (RISQs, ISO 9001/14001/45001)
HR Admin Support
- Keep PeopleHR (HR database) up to date
- Run reports from PeopleHR for key metrics for Senior Leadership Team meetings
- Work with the HR Manager to ensure all relevant employees are registered for either ICE/IStructE chartership and ensure that progress is tracked
- Work with the HR Manager to review HR policies and procedures on an annual basis
- Assist with recruitment administration as needed
- Maintain vacancies list on website
Marketing Support
- Assist with social media (Linked-in) posts as necessasry
Business Development Support
- Assist with supplier questionnaires, PQQs (Pre-qualification questionnaires) and client vendor platforms (COMPASS, Achilles, Bravo, RISQs)
- Assist with management of live opportunities and tendering process
- Assist with updating the Customer Relationship Management system
- Assist with client and competitor analysis
